Parent Committee – All parents holding a position on the committee should maintain a close communication
relationship with the Scoutmaster and Assistant Scoutmasters. They should attend all Court of Honor events and
actively participate in all parent committee meetings, which are held approximately six times a year.
Duties of the Chairperson and
Vice Chairperson (assists the Chairperson and assumes responsibilities in absence)
- Organize the committee to see that all functions are delegated, coordinated, and completed
- Facilitate bi-monthly meetings as well as any special meetings that may be called
- Arrange meetings and prepare agendas
- Ensure those parents holding positions attend
- Promote all parent attendance
- Maintain a close relationship with the Scoutmaster and chartered organizations representative
- Interpret national and local policies to the troop
- Secure top-notch, trained individuals for camp leadership
- Arrange for charter review and re-charter annually
- Plan the charter presentation
Duties of the Treasurer (Finance/Records) and Asst. Treasurer (assists with Treasurer duties as needed)
- Maintains checking and savings accounts
- Handle all troop funds – pay bills on the recommendation of the Scoutmaster and authorization of the troop
committee
- Is readily available as needed
- Keep adequate records for the annual dues, fund raisers, taxes on equipment trailer, receipts and expenses
of meetings and Courts of Honor
- Collect outing funds prior to events and pay outstanding fees
- Supervise the camp savings plan
- Lead in the preparation of the annual troop budget
- Provide a financial statement at bi-monthly committee meetings – keep adequate records of expenses
Duties of the Advancement Chair and Co-Advancement Chair (assists Advancement Chair as needed)
- Work closely with Scoutmaster and Central NC Council to report and keep records of each scout’s
advancements and merit badges earned
- Schedule and serve on Boards of Review
- Report to the parent committee during bi-monthly meetings
Duties of the Communications Chair and Co-Communications Chair
- Keep the minutes of parent committee meetings
- Notify parents of all meetings
- Maintain Troop 46 Web-site with input from Committee, Scoutmasters and junior leaders
- Conduct the troop resource survey
- Report the minutes of the previous meeting at each parent committee meeting
- Lead correspondence efforts for the troop
Duties of the Fund Raising Team and Fund Raising Chair
- Schedule and provide leadership on direction of Troop 46 fund raisers
- Attend Courts of Honor prior to fund raisers to inform parents
- Report to the parent committee during bi-monthly meetings
Calendar Lead
- Coordinate the calendar sales fund raiser for the troop
Popcorn Sales Lead
- Coordinate the popcorn sales fund raiser for the troop
Duties of the Equipment Coordinator (Quartermaster) and
Co-Equipment Coordinator (assists Equipment Coordinator as needed)
- Responsible for ensuring the care, maintenance and purchasing of Troop 46 equipment
- Meet with scouts responsible for equipment before and after outings
- Maintain the uniform closet
- Supervise and help the troop procure camping equipment
- Make periodic safety checks on all troop camping gear, and encourage troops in safe use of all outdoor
equipment
- Report to the troop committee at each meeting
Duties of Chaplain and Asst. Chaplain (supports the Chaplain as needed)
- Ensure the religious needs of the troop are met
- Provide a spiritual tone for troop meetings and activities by leading prayers at all events
- Encourage scouts to work on religious emblems
- Promote regular participation of each member in the activities of the religious organization of his choice
- Support the coordination of Scout Sunday activities
- Visit homes of Scouts in time of sickness or need
- Report to the troop committee at each meeting
Duties of Training Chair
- Ensure troop leaders and committee members have opportunities for training
- Maintain an inventory of up-to-date training materials, videotapes, and other training resources
- Work with the district training team in scheduling Fast Start training for all new leaders
- Be responsible for BSA Youth Protection training within the troop
- Encourage periodic junior leader training within the troop and at the council and national levels
- Report to the troop committee at each meeting
Court of Honor/Celebration Chair and Helpers (5)
- Plan, set up facility for quarterly Courts of Honor and other celebrations
- Ensure catering needs are met and parent involvement
- Report to the troop committee at each meeting
Parent Volunteer Coordinator
- Welcome new parents to the troop - make them aware of meetings, information, etc.
- Ensure all committee positions are filled with qualified personnel
- Recruit and interview candidates for positions, make recommendations to committee
- Assess volunteer needs
- Ensure two parents attend each weekly scout meeting to support Scoutmaster/Asst. Scoutmasters
